"How long does window replacement take" sounds like a single question, but it's usually three nested questions and the right answer depends on which one you're asking. Most homeowners conflate at least two of them, which is why contractor timeline answers can feel inconsistent.
Per-window install time — the actual minutes the crew spends removing the old window and installing the new one — runs 30 to 60 minutes per window for standard double-hung in a typical wall opening. Insert installations are at the lower end of the range (no exterior trim work, no flashing rebuild); full-frame replacements are at the upper end (the entire frame comes out, new flashing goes in, exterior trim is reset). Custom shapes (bay, bow, arched) run 1.5 to 3 hours per window. This is the tier most homeowners imagine when they ask the question, and it's almost always the smallest of the three numbers.
On-install-day total time — how long the crew is at your house on the day of installation — depends on window count and project complexity. An 8-window project of standard double-hungs runs 4 to 8 hours of crew time, typically completed in one day. A 14-window whole-home project runs 1.5 to 2 days, with the second day usually being a half-day for the last few windows + cleanup + walkthrough. Single-window or two-window projects (the repair-vs-replace decision framework's single-failure scope) run as a half-day visit; the per-window-cost penalty documented in the cost-guide also shows up as a per-window time penalty because crew setup and breakdown amortizes across fewer windows the same way fixed costs do.
Total project from contract to completed install — the time elapsed from "you sign the quote" to "the windows are in your wall" — typically runs 2 to 6 weeks. The surprise here is that manufacturing lead time, not install work, accounts for 60 to 80 percent of that total. Stock vinyl windows in common sizes ship from the manufacturer in 2 to 4 weeks; custom-sized vinyl, fiberglass, or wood windows run 4 to 8 weeks; specialty shapes (arched, oversized, historic-replication) can run 8 to 12 weeks. This is the tier that surprises most homeowners and drives the most contractor- timeline disagreements, because the on-install-day work is only a small fraction of the total.
If your project's total timeline is running materially longer than the typical 2-to-6-week band — say, week 8 with no install date confirmed — the signal is to ask your installer specifically what stage is delayed. The most common stage to delay is manufacturing (custom orders running long, supply constraints on a specific glass package, manufacturer backorder); the second most common is permit approval in slow-permit jurisdictions; the third is weather (rare for residential projects, common for coastal hurricane-glazing installations). A specific stage-name answer is operator-honest; "we're working on it" without a stage-name is a delay-management signal worth probing further.
What drives the 30-to-60-minute per-window range
Per-window install time varies inside the 30-to-60-minute band based on three factors that combine multiplicatively, not additively:
- Installation type — insert (retrofit) installs run 25 to 40 minutes per window because the existing frame stays in place; the crew removes only the operable sash and inserts the new window into the existing opening, then re-seats the interior trim. Full-frame replacements run 50 to 75 minutes per window because the entire frame comes out, new flashing is installed, the rough opening is inspected and squared if needed, and exterior trim is reset. - Window type and shape — standard rectangular double-hung windows are at the band's lower end. Custom shapes (bay, bow, arched, oversized) run 1.5 to 3 hours per window because the framing, flashing, and trim work scales with the window's complexity.
- Crew size and local labor market — crews vary from 2-person (typical for budget-tier installers) to 4-person (typical for full-service installers in high-wage markets). A 4-person crew installs roughly 1.5 to 2× faster than a 2-person crew per window because two installers can handle the heavy lifting and frame work in parallel while the other two prep the next opening. This is where local labor markets feed into install duration: in high-wage markets (California, New York, Massachusetts) where the per-state labor-rate data on the methodology page shows construction-crew rates 2 to 3× the national low-end, contractors deploy larger crews to compress on-install-day time and amortize the higher hourly cost across faster project completion. In lower-wage markets, smaller crews are economical and per-window install time runs at the band's upper end.
Tactical guidance for estimating your project's actual install pace: once the crew arrives on install day, watch the first window's install. The first window typically runs 10 to 25 percent longer than subsequent windows because the crew is calibrating to your home's specifics (rough-opening tolerances, trim configuration, your particular flashing details). The second window's install time is a much better predictor of your project's per-window pace than either the first window OR the contractor's pre-project estimate.
Whole-project timeline: stage-by-stage breakdown
The 2-to-6-week total project timeline breaks into five sequential stages, each with its own typical duration and its own variance drivers. Most contractor- timeline disagreements come from disagreement about which stage's duration to use as the headline number; the operator-honest answer is to walk through all five.
- Stage 1 — Contract signing to in-home measurement: 3–7 days. Most contractors send a measure-tech (sometimes the salesperson, sometimes a separate templating crew) to take precise window-opening measurements before placing the manufacturing order. The contract-to-measurement gap is mostly scheduling, not work; faster contractors can measure within 2–3 days, slower ones run a week or more.
- Stage 2 — Measurement to order placed: 1–3 days. The measure-tech's data goes back to the office, gets reviewed, and the order goes to the manufacturer. This stage is short but matters because errors here (wrong size ordered, wrong glass package) push the manufacturing stage back by full lead time.
- Stage 3 — Manufacturing lead time: 2–8 weeks (the dominant stage). Stock vinyl in common sizes ships in 2–4 weeks; custom-sized vinyl, fiberglass, or wood runs 4–8 weeks; specialty shapes run 8–12 weeks. This stage is the 60-to-80-percent share of total project duration and is mostly outside the contractor's control — it's the manufacturer's queue.
- Stage 4 — Windows arrive to install day scheduled: 3–10 days. Once the manufacturer ships, the contractor's warehouse receives, inspects, and schedules the install crew. Smaller installers schedule faster (the windows are in the truck and can be installed within days); larger installers may have a 1–2 week scheduling backlog because their install crews are booked out.
- Stage 5 — Install day(s) + walkthrough: 0.5–2 days. Per the section-1 numbers — a half-day for single-window or two-window scope, one day for an 8-window project, 1.5–2 days for a 14-window whole-home. Walkthrough + punch-list happens at the end of the install day(s) or as a follow-up visit within the next week.
For larger projects (the project-scale economics documented in the window replacement cost guide), Stages 3 and 5 both scale with project size: a 14-window whole-home order may ship in two manufacturing batches if the manufacturer's queue can't accommodate all 14 in one production run, and the install spans 1.5–2 days instead of 1. Four extenders push projects past the typical 2-to-6-week band. None are rare, but most are predictable enough that a competent installer surfaces them in the initial quote rather than springing them mid-project.
- Custom or specialty orders run 4–12 weeks instead of 2–4. Any window outside the manufacturer's stock-size catalog ships from the custom-build queue, which runs longer because the manufacturer batches custom orders weekly or monthly rather than producing them on-demand. Custom-shaped windows (arched, oversized, historic-replication) run the longest. If your project includes any non-stock windows, expect the manufacturing stage to anchor the total timeline at the upper end of the 2-to-6-week range or beyond.
- Permit-approval delays run 1–3 weeks in slow-permit jurisdictions. NYC, San Francisco, Boston, Washington DC, Chicago, and most California cities have permit-approval pipelines that take 1–3 weeks beyond the contractor's submission, and historic districts add another 2–6 weeks for design-review approval. In most US suburban cities, permit approval runs 3–10 days and doesn't materially extend the timeline.
- Weather delays — rare for residential, common for coastal hurricane-glazing installs. Most residential window installs proceed in light rain (the crew tarps the opening and works through it) and in cold (down to roughly 20°F). Heavy rain, snow, or sustained sub-freezing temperatures push install days back 1–3 days at a time. Coastal Florida and Gulf Coast hurricane-glazing installations face a different weather constraint: hurricane-rated glazing requires manufacturer testing + chain-of-custody documentation that gets slower during active hurricane seasons (June–November) when manufacturers are running at capacity.
- Contractor scheduling backlog adds 1–4 weeks at the install-day stage. Spring–summer is the busy season for window installers (per the seasonal pricing dynamic documented in the cost guide); install crews can be booked out 2–4 weeks even after windows arrive at the contractor's warehouse. Late fall and early winter (Nov–Feb) is the quietest season — install scheduling typically runs within a week of windows arriving.
Tactical guidance — questions to ask before signing the contract: ask the installer (1) "what's the manufacturing lead time on the specific windows I'm ordering, and is anything in the order custom-sized or specialty-shaped?", (2) "what's the permit-approval pipeline in my jurisdiction right now?", and (3) "after the windows arrive, what's your install-crew scheduling backlog?" A contractor who can answer all three with specific numbers is operator-honest about the timeline; a contractor who answers all three with "we'll handle it" is not necessarily incompetent, but is not giving you the timeline visibility you need to plan around the project.
